New Client Onboarding
Adapting to Change
Prior to the COVID-19 pandemic, much of the world operated primarily in a brick-and-mortar capacity. Clients came into the office, and payments were taken in person... Now, in the post-COVID world, online shopping and services are more popular than ever.
This comes with a higher risk for both clients and merchants alike. From fake and stolen IDs and credit cards to phishing, smishing, and other forms of social engineering, it's essential to verify that clients and merchants are who they claim to be.
To this end, we have instituted a new protocol for all new clients who are not local (i.e., cannot or will not meet in person locally).
Step 1
New Client Consultation
When you retain After Hours Travel to help plan your travel, you're hiring a professional travel advisor to ensure that your trip is tailored to your taste, preferences, and budget.
The first step in this process is to connect. Whether in person, by phone, or via video call, we can discuss your travel desires, past experiences (good or bad, both are helpful), and discuss how we can help.
Our initial consultation is complimentary, with no pressure or sales pitches. This meeting is informational only.
Step 2
Client Agreement
Following our initial consultation, we will send you our client agreement. You will be asked to provide some basic information about yourself and anyone traveling with you, and you will receive copies of our terms & conditions.
Step 3
Identity Verification
In Person
If you are local, you can come to us, or we can come to you. In either case, we will ask for a current, unexpired, government-issued ID.
Online
We ask that you verify your identity through our vendor, Stripe. You can learn more about the process by clicking here.
Step 4
Trip Deposit
Once your client agreement and identity verification are complete, we will send you an invoice for any applicable trip planning deposit. Once that invoice is paid, we will begin crafting your itinerary.
Step 5
Itinerary Review & Approval
Once ready, a link to your personalized itinerary proposal will be sent to your email. You can access your portal via the web or via the Tern Traveler app on Android or iPhone.
Your proposal will show a day-by-day breakdown, including which suppliers are providing each component of your travel arrangements, and may provide options for flight times, excursions, room types, etc.
After you've reviewed your itinerary, you will be able to make any choices, approve your itinerary, or request any necessary revisions.
When you've approved your itinerary, you will provide your payment details for any necessary deposit(s).
Step 6
Start packing!
We will make the payments and/or deposits you have authorized on your behalf directly to the respective supplier. You can return to your portal at any time to review your itinerary, make necessary updates, ask questions, get copies of confirmations, etc.
We will keep in touch with you regarding your trip, any payment deadlines, and any updates provided by vendors.
You'll be busy making all your friends jealous, and making sure you have empty passport pages for all the places you're planning on going! :)
Step 7
Bon Voyage!
It's time to travel! Have an amazing time, enjoy everything there is to enjoy in your destination.
If you run into issues on your journey, we're here to help--we hate to say we hope you don't need us, but while you're on your trip, we want everything to go smoothly. On the off chance something comes up, we know who to reach out to.
